Privacy Policy

How Avuno Technologies collects, uses, stores and protects your personal information, in line with South Africa's Protection of Personal Information Act (POPIA).

This policy explains how Avuno Technologies (Pty) Ltd ("Avuno", "we", "us") handles your personal information when you use our website (avuno.co.za), our client portal (account.avuno.co.za), or otherwise engage our services. We are based in Mossel Bay, Western Cape, South Africa.

1. Who is responsible for your information

Avuno Technologies (Pty) Ltd is the responsible party (data controller) for your personal information. Our Information Officer is Werno Roodt, who can be reached at hello@avuno.co.za.

2. What we collect

  • Enquiries: when you submit our contact form or email us, we collect your name, email address, phone/WhatsApp number (if provided) and the details of your enquiry.
  • Client accounts: if you become a client, we collect the information needed to manage your account and care plan — your name, email, business/website details and subscription records.
  • Payments: care-plan payments are processed by PayFast. We do not see or store your full card details; we retain a payment reference, amount and status for our records.
  • Website analytics: we use a self-hosted, privacy-friendly analytics tool (Umami) that does not use cookies and does not track you across other websites. It records anonymised, aggregated data such as page views, referrers and general region.
  • Technical data: our servers automatically log limited technical information (such as IP address and browser type) for security and to prevent abuse.

3. Why we use it, and our lawful basis

We process your personal information to:

  • respond to your enquiry and provide a quote (based on your request and our legitimate interest in doing business);
  • deliver, host and support the services you engage us for (to perform our contract with you);
  • process payments and manage your subscription (to perform our contract and meet legal/accounting obligations);
  • keep our website and systems secure (our legitimate interest);
  • send you service-related emails such as account invites, password resets and receipts (to perform our contract).

We do not sell your personal information, and we do not send marketing emails without your consent.

4. Who we share it with

We only share personal information with trusted operators who help us run the business, under appropriate safeguards:

  • PayFast — to process care-plan payments securely.
  • Google Workspace — for our business email.
  • Our hosting infrastructure — to serve the website and portal.

We may also disclose information where required by law. Some of these operators may process data outside South Africa; where that happens, we take reasonable steps to ensure your information remains protected.

5. How long we keep it

We keep personal information only as long as needed for the purpose it was collected, or as required by law (for example, financial records). Enquiries that don't become projects are periodically cleared. You can ask us to delete your information at any time (see your rights below).

6. How we protect it

We use HTTPS/SSL across our sites, keep software patched and backed up, restrict access to systems, and store passwords using strong one-way hashing. No system is perfectly secure, but we take reasonable and appropriate technical and organisational measures to protect your information.

7. Your rights under POPIA

You have the right to:

  • ask what personal information we hold about you and request a copy;
  • ask us to correct or update information that is inaccurate;
  • ask us to delete your information, where we are not required to keep it;
  • object to certain processing; and
  • lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.

8. Cookies

Our marketing website does not use tracking or advertising cookies — our analytics is cookieless. The client portal (account.avuno.co.za) uses a single essential cookie to keep you signed in; it is not used for tracking.

9. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top reflects the latest version. Material changes will be reflected here.
